“We protect your privacy; your data will be recorded and stored.” The personal data of participants will only be used for internal administrative purposes, invoicing, and participant lists that must be provided to the event venue. Personal data provided by participants may only be shared with the police if we are requested to make the registered data available for verification.
The prices listed on the website are in Euros, apply per person per component, and include Dutch VAT. Spons! reserves the right to adjust these prices at any time. Foreign companies must also pay Dutch VAT for participation because the place of service—The Netherlands—determines the VAT. If the invoice is not paid, we are entitled to charge you the costs incurred for collecting the invoice, as well as any costs owed to the event venue for your participation. In the event of VAT rate changes, we reserve the right to adjust the prices.
The reservation will be confirmed by email along with the invoice. The invoice must be paid within 10 days of the invoice date. If you make use of a discount promotion, the invoice must be paid within the promotional period; after the end date, all discounts listed on the invoice expire. Payment in installments is not possible. Only after payment has been received is your participation in the event definitively reserved.
For cancellations up to 15‑11‑2026, no costs will be charged. For cancellations after this date, the following fees apply:
Participation and stay at the event location are at your own risk.
Spons! is not liable in any way for lost or damaged personal or business property of participants, volunteers, or vendors, nor for bodily injury, material damage, or consequential damage of any kind caused by participants, the organization, visitors, guests, or third parties.
Spons! is also not liable for damage resulting from calamities or other force majeure situations. Damage to Spons! property or provided materials, or theft thereof, will be charged to the perpetrator or the person held jointly liable. In case of theft, the police will be notified.
Any damage or extra cleaning caused by participants to the event location—such as halls, restrooms, or public areas—will be charged to the participant and must be paid before departure. Additional repair costs or damages discovered after departure may still be charged later. Spons! is also not liable for vehicles parked at or near the event location or for any damage caused by or to these vehicles.
Spons! reserves the right to reschedule the event to a different date or location, or to cancel the event entirely, in the event of force majeure. Force majeure includes: government measures or other unforeseen circumstances beyond the control of the organization. In such cases, Spons! shall not be held liable for any direct or indirect damages or costs arising therefrom.
Dietary requirements and/or food allergies must be communicated at the time of reservation. If not communicated in advance, Spons! cannot guarantee accommodations. Even when efforts are made to consider your needs, Spons! cannot be held liable if the offered food does not meet your requirements.
During Spons! events, photos and videos may be taken by or on behalf of Spons!, which may be used for social media, websites, printed materials, advertisements, or other publications. By participating, you explicitly consent to the unrestricted use of these images. Spons! will avoid using compromising photos.
